Spacebase lease accounting pricing and alternatives, with the $300 per lease abstraction fee in context
Spacebase, at spacebaseapp.com, is lease accounting and lease administration software for finance and real estate teams. It started in 2015 as a system built with Airbnb's real estate team and is now sold in two modules, lease accounting for ASC 842, GASB 87 and IFRS 16, and lease administration for dates, documents and reports, with an AI add-on that abstracts leases with page citations. Spacebase does not publish a price list. The clearest figures we found sit in a public city contract file: a 2022 Spacebase proposal to the City of Santa Fe, New Mexico quoted $1,500 a month for lease management, another $1,500 a month for GASB 87 lease accounting, and $300 per lease for abstraction. If you need a full accounting subledger, Spacebase belongs on the shortlist. If what you need first is the leases read and turned into clean data, a lease abstraction tool does that part for a fraction of $300 a lease.
HOW TO CHOOSE
LeaseAbstracts vs Spacebase
A fair, factual comparison. We differentiate on self-serve speed, per-lease pricing, source-linking, and export, not on disparaging anyone.
What the product is
Spacebase is a lease subledger and lease administration system: right of use assets and liabilities, journal entries, disclosures, month-end close, critical date alerts and document storage, plus Spacebase AI for abstraction. LeaseAbstracts is lease abstraction software: it reads the lease and its amendments and hands you a sourced abstract to export.
How it is priced
Spacebase quotes on request. The 2022 Santa Fe proposal priced each module at $1,500 a month with five user licenses, $150 a month per extra license, unlimited leases, no implementation fee and a 12 month term, plus $300 per lease if Spacebase does the abstraction. LeaseAbstracts publishes its plans, from $49 a month for 15 leases.
Who does the abstraction
On Spacebase you either pay the per-lease abstraction fee, abstract the leases yourself in its Abstract Builder at no charge, or run Spacebase AI. On LeaseAbstracts the AI drafts the abstract and you confirm each field against the clause it came from, then export to Excel or a Yardi or MRI mapped file.
Who should pick Spacebase
A controller who needs ASC 842 or GASB 87 schedules, journal entries and disclosures in the same system as the lease calendar, with SOC 1 Type II controls the auditors will ask about. That is a real need and an accounting subledger is the right tool for it.
WHERE LEASEABSTRACTS FITS
LeaseAbstracts does the part of the Spacebase quote that is priced per lease. Upload an executed lease with its amendments, check every field against the clause it came from, and export the abstract to Excel or straight into the system you already run. Team is $149 a month for 75 leases and Firm is $399 a month for 250 leases with batch upload, so a 100 lease backlog costs less than two abstractions at $300 each.
Spacebase vs LeaseAbstracts at a glance
Spacebase and LeaseAbstracts overlap at one step: turning a signed lease into structured data. Everything after that step, the accounting and the ongoing administration, is where Spacebase earns its subscription.
| Factor | Spacebase | LeaseAbstracts |
|---|---|---|
| What you buy | Lease accounting and lease administration modules, AI add-on | Lease abstraction with sourced fields and exports |
| Standards | ASC 842, GASB 87, IFRS 16 schedules and journal entries | Captures the inputs those schedules need, with clause references |
| Published price | None, demo and quote | $49, $149 and $399 a month by lease volume |
| Abstraction | $300 per lease in the 2022 quote, or self-abstract, or Spacebase AI | Included in every plan |
| Source citations | Yes, Spacebase AI cites each field to a page | Yes, each field links to its clause |
| Best for | Finance teams that need the subledger | Teams that need the leases read first |
How much does Spacebase cost?
Spacebase has no pricing page (spacebaseapp.com/pricing returned a 404 when we checked in October 2026), and its site routes every buyer to a demo. The most detailed figures we could find are in a public procurement file. In 2022 the City of Santa Fe, New Mexico took demonstrations and quotes from four lease software vendors for GASB 87, and the Spacebase proposal is attached to the city's contract file for the Visual Lease award.
| Line in the 2022 proposal | Amount |
|---|---|
| Lease management base subscription, 5 licenses, unlimited leases | $1,500 a month |
| Each additional license | $150 a month |
| GASB 87 lease accounting module, 5 licenses | $1,500 a month |
| Implementation and setup | $0 |
| Abstraction by Spacebase | $300 per lease |
| Self-abstraction in Abstract Builder | $0 |
Both modules together came to $3,000 a month, or $36,000 for the 12 month term, before any abstraction. The city chose Visual Lease at $18,000 a year for up to 360 leases plus $3,500 of implementation. These are 2022 quotes to one government, so treat them as a starting point for your own negotiation, not a rate card. Our GASB 87 software pricing page lists the other contracts we verified.
What $300 per lease means for a real portfolio
The subscription is easy to see on a quote. The abstraction line is the one that grows with the portfolio, because every lease and every amendment has to be read before the subledger can calculate anything.
| Leases to load | At $300 a lease | On LeaseAbstracts |
|---|---|---|
| 25 | $7,500 | $149, one month of Team |
| 100 | $30,000 | $399, one month of Firm |
| 360 | $108,000 | $798, two months of Firm |
The comparison is not perfectly like for like. A vendor abstraction service puts a person on each lease, and our plans assume your team reviews the AI draft, which takes minutes per lease rather than hours. The free self-abstraction route in the 2022 quote also exists, and its cost is staff time; Tango Analytics, another lease software vendor, puts manual abstraction at about 9 hours for one lease. Either way, abstracting first and importing the result is the cheapest way to fill any lease accounting system, Spacebase included. See ASC 842 data extraction for the fields that feed the schedules.
When Spacebase is the better buy
Spacebase is a serious product and in several situations it is simply the right answer.
- You need the accounting, not just the data. ASC 842 or GASB 87 schedules, journal entries, roll-forwards, GL reconciliation and disclosures belong in a subledger. LeaseAbstracts produces the inputs, not the entries.
- Your auditors want a SOC 1 report. Spacebase says its controls are audited to SOC 1 Type II and it supports SSO, MFA and role-based access.
- You track equipment as well as property. Its lease accounting covers aircraft, forklifts and IT hardware as well as real estate.
- You want one vendor to own onboarding. The 2022 proposal included a dedicated account manager, unlimited training and integration work, with no setup fee.
If that describes you, load the leases into Spacebase. If the leases are not read yet, abstract them first so the implementation starts with clean data.
Spacebase alternatives by the job you are hiring for
Most lists of Spacebase alternatives mix accounting subledgers, lease administration platforms and abstraction tools. Sorting by the job makes the shortlist shorter.
| The job | Tool type | Examples |
|---|---|---|
| ASC 842 or GASB 87 entries and disclosures | Lease accounting subledger | LeaseQuery (FinQuery), EZLease, Crunchafi |
| Portfolio dates, documents and reporting | Lease administration platform | Visual Lease, Occupier, Leasecake |
| Read leases into clean, sourced data | Lease abstraction software | LeaseAbstracts and the tools in our lease abstraction software comparison |

What to test before you sign
- Ask for the abstraction line in writing. Per lease, per amendment, or per document. A 2022 figure of $300 a lease tells you the order of magnitude, not this year's price.
- Bring your worst lease. A scanned original with three amendments and a side letter. Ask which rent is payable today and which renewal option is still open.
- Count licenses. Five users per module were included in 2022 and each extra user was $150 a month. Real estate, accounting and the auditors add up.
- Price the data you already have. If you abstract the leases yourself first with a per-lease plan, the vendor's onboarding becomes an import, and the quote should reflect that.
FAQ
Common questions
How much does Spacebase cost?
Spacebase does not publish prices. A 2022 Spacebase proposal in the City of Santa Fe contract file quoted $1,500 a month for lease management with five licenses and unlimited leases, $1,500 a month for GASB 87 lease accounting, $150 a month per extra license, no setup fee, and $300 per lease for abstraction.
Does Spacebase do lease abstraction?
Yes, in three ways. Its team abstracts leases for a fee, which was $300 per lease in a 2022 public proposal. You can self-abstract in its Abstract Builder at no charge. And Spacebase AI extracts critical dates, rent, options and clauses from scanned PDFs with each field cited to the page.
Is Spacebase GASB 87 compliant?
Spacebase says its lease accounting module supports ASC 842, GASB 87 and IFRS 16, including journal entries, amortization schedules, modifications and disclosures. In 2022 it proposed a GASB 87 module to the City of Santa Fe with Munis integration, which shows the public sector is one of its target markets.
What is Spacebase used for?
Spacebase is used by finance and real estate teams to keep lease records and lease accounting in one place. The lease administration module tracks terms, critical dates and documents. The lease accounting module produces ASC 842, GASB 87 and IFRS 16 schedules, journal entries and disclosures for month-end close.
Is Spacebase the same as spacebase.com?
No. Spacebase the lease software is at spacebaseapp.com. The site at spacebase.com is a separate business that books meeting rooms and event venues. Check the domain before you compare reviews or pricing, because directory listings sometimes mix the two.
What are the best Spacebase alternatives?
For lease accounting, LeaseQuery (now FinQuery), EZLease and Crunchafi. For lease administration, Visual Lease, Occupier and Leasecake. For reading leases into clean data before any of those, dedicated lease abstraction software such as LeaseAbstracts, priced from $49 a month with plans published on the site.
Does Spacebase offer a free trial?
Spacebase offers a free AI lease abstract. You request an upload link by email, upload one commercial lease and get a structured abstract you can export as PDF or XLSX. For the full platform the site routes buyers to a demo rather than a self-serve trial.
Can I import abstracted leases into Spacebase?
Spacebase supports custom lease fields that can be filled manually or through an API integration, so abstract data can be loaded from a spreadsheet or file. Abstracting first with a per-lease tool turns onboarding into an import and lets you skip the per-lease abstraction fee.
