This Privacy Policy explains how Leaseabstracts ("Leaseabstracts," "we," "us," or "our") collects, uses, and protects information when you use our lease abstraction software and related websites (the "Service"). We built the Service for commercial real estate teams who handle confidential lease documents, so the privacy of that material is central to how we operate.
Information we collect
We collect the following categories of information:
- Account information. When you create an account we collect your email address and, if you provide it, your name and company. Billing is handled by our payment processor; we receive limited billing metadata but do not store full card numbers.
- Lease documents and content. When you upload a lease or related file, we store that document and the structured abstract our system produces from it so you can review, edit, export, and return to your work.
- Usage information. We collect technical and usage data such as IP address, browser type, device information, pages viewed, features used, and timestamps. This helps us keep the Service secure, reliable, and easy to use.
- Communications. If you contact us for support or sales, we keep a record of that correspondence.
How we use information
We use the information we collect to:
- Provide, operate, and maintain the Service, including running AI abstraction on the documents you upload and returning a source-linked abstract.
- Authenticate accounts, process payments, and manage subscriptions.
- Respond to support requests and communicate with you about your account, security, and material changes to the Service.
- Monitor, debug, and improve performance, reliability, and security.
- Comply with legal obligations and enforce our agreements.
We do not train models on your documents
We do not use the lease documents or other content you upload to train, fine-tune, or improve any machine learning model, and we do not sell your content or share it for advertising. Your documents are processed solely to produce the abstract you requested and to provide the Service to you. Where we use third-party AI infrastructure to perform extraction, we use it under terms that prohibit the provider from training on your content.
Encryption and security
We protect your information using industry-standard safeguards. Data is encrypted in transit using TLS and encrypted at rest. Access to production systems is limited to authorized personnel, gated behind authentication, and logged. No method of transmission or storage is perfectly secure, but we work to protect your information in line with the sensitivity of lease data and to promptly address any issues we discover.
Retention and deletion
We retain your account information for as long as your account is active. We retain uploaded documents and the abstracts generated from them so they remain available in your workspace, and you control them: you can delete individual documents and abstracts at any time from within the Service. When you delete content, we remove it from active systems and purge it from backups on a rolling basis. If you close your account, we delete or anonymize the associated personal data and content within a commercially reasonable period, except where we are required to retain certain records to comply with law, resolve disputes, or enforce our agreements.
Sub-processors
We rely on a limited set of vendors to operate the Service, including cloud hosting and storage providers, AI extraction infrastructure, a payment processor, email delivery, and product analytics. These sub-processors act on our behalf, are bound by confidentiality and data-protection obligations, and are permitted to use your information only to provide services to us. We choose sub-processors who meet appropriate security standards and we do not authorize them to use your content for their own purposes.
Cookies and analytics
Our websites use cookies and similar technologies to keep you signed in, remember preferences, and understand how the Service is used. We use privacy-conscious analytics to measure traffic and improve the product. You can control cookies through your browser settings, though disabling some cookies may affect how the Service works.
Your rights and choices
Depending on where you live, you may have rights to access, correct, export, or delete your personal data, to object to or restrict certain processing, and to withdraw consent where processing is based on consent. You can exercise many of these rights directly in the Service, and you can contact us to make a request. We will respond in accordance with applicable law and may need to verify your identity before acting on a request.
International data transfers
We may process and store information in countries other than the one in which you reside. Where we transfer personal data across borders, we use appropriate safeguards consistent with applicable law.
Children
The Service is intended for business use and is not directed to children. We do not knowingly collect personal information from children.
Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the date above and, where appropriate, notify you. Your continued use of the Service after an update means you accept the revised policy.
