Archibus lease management, Archibus lease accounting and lease abstraction for Archibus imports
Archibus by Eptura tracks leases, options, clauses, recurring costs and amendments once the data is in the Leases tables. It does not produce that data from a PDF. The Archibus help says it plainly: new users "might want to quickly import lease abstracts to get started with Archibus". LeaseAbstracts makes those abstracts. Upload each executed lease with its amendments, get dates, rent lines, cost categories, options and clause summaries linked to the page they came from, review them, and export a sheet your administrator maps to an Archibus Data Transfer file. Plans start at $49 a month, with no implementation project.
THE PROBLEM
Built for corporate real estate, facilities and lease administration teams implementing or running the Archibus Leases application, on Archibus SaaS, self-hosted Web Central or Archibus for Government
Archibus projects are usually led by facilities and space. Floor plans get loaded, the space inventory gets reconciled, and the Leases application is switched on last. Then somebody opens the Lease Portfolio Console and finds eight tabs per lease waiting to be filled: profile, suites, contacts, documents, base rents, options, clauses and amendments. The answers sit in a shared drive of scanned leases that nobody on the facilities team has read. The Archibus partner can import a spreadsheet in an afternoon. Producing the spreadsheet is the part with no owner.
Abstract to the tabs the Lease Portfolio Console shows
The AI pulls landlord, tenant and premises, the full date set, every base rent step, the recurring charges for taxes, insurance and maintenance, renewal and termination options with notice dates, and the clauses that assign responsibility. That lines up with what Archibus tracks per lease: suites, contacts, base rents and other recurring costs, options, clauses and amendments.
One consistent row per lease, ready to map
Archibus Data Transfer reads CSV or Excel files, one table per file. A portfolio abstracted into the same column order on every lease is what makes that mapping a one-time job for your administrator or Eptura partner, instead of a cleanup exercise per building.
Every value carries its page and clause
A reviewer on your team confirms each abstract in minutes because the date or dollar figure links to the sentence that produced it. That reference stays useful later, when someone asks why an option date in Archibus says what it says.
Start before the Archibus project does
Archibus is sold through partners on a scoped quote. The reading does not need to wait for that. Abstract the first lease today at a published price and arrive at the import step with the data already reviewed.
Does Archibus do lease abstraction?
Archibus stores lease abstracts and puts them to work. It does not read a lease document and fill in the fields. The public Archibus help describes four ways lease data gets into the Leases application: a wizard, panel forms, templates you define, and import. On the import route the help is direct about where the data comes from: "new users migrating from other systems might want to quickly import lease abstracts to get started with Archibus". The abstract is assumed to exist before Archibus sees it.
Eptura describes the result the same way on its Archibus lease management page, where "lease abstracts and detailed clauses are immediately accessible, so everyone knows who is responsible for services, payments, and repairs". That is a description of a system of record. The reading that produces the abstract happens upstream, by a lease administrator, an outsourced team, or software whose output a person reviews.
This is the normal split for an integrated workplace management system. Planon lease accounting states it outright, and IBM TRIRIGA lease abstraction has worked the same way for years.
What an Archibus lease record needs from the document
The Archibus Lease Portfolio Console organizes a lease into tabs. Each one maps to a specific part of the executed lease, and several of them are usually restated by an amendment.
| Archibus lease area | Where it sits in the lease |
|---|---|
| Profile and lease information | Parties, landlord or tenant role, start and end dates, premises description |
| Suites | Suite numbers and rentable area, often changed by an expansion amendment |
| Base rents and recurring costs | Rent schedule with every step, plus parking, cleaning, utilities, taxes and insurance |
| Options | Renewal, extension, termination, expansion and contraction rights with notice dates |
| Clauses | Responsibility for services, repairs, payments and other negotiated terms |
| Amendments | Each later instrument, with its effective date and what it replaced |
| Contacts and documents | Notice addresses, and the executed PDFs themselves |
Archibus drives its alerts from the lease and option due dates, so the option tab is where a thin abstract costs money. The value is in the notice deadline, not in knowing an option exists. Our critical date extraction page shows how those deadlines come out, and rent schedule extraction covers the step-by-step rent table that feeds the recurring costs.
How lease import works in Archibus
Lease import runs through the Lease Portfolio Console. The help points to the DATA and Export buttons next to Add New, and notes that the other lease editing tools, such as the Portfolio Edit Wizard, do not import or export. Behind the DATA button is Archibus Data Transfer, which is documented in detail.
| Data Transfer rule | What it means for your abstracts |
|---|---|
| Files are CSV or Excel XML | A reviewed spreadsheet export is the right starting format |
| Each extract file holds one table | Leases load in one file, and options, clauses and recurring costs load in their own |
| The first two rows name the table and its schema fields | Export an empty file from your own console first and use its headers as the mapping target |
| Imports obey the same data integrity rules as manual entry | Buildings, properties and other validated values must exist before the leases that reference them |
| Comparison reports show differences and errors before you commit | Review the report, fix the source sheet, then transfer in |
One ordering rule catches teams out. The help on bulk document import states that lease records must already exist in the Leases table before lease contracts can be attached in bulk. Load the lease data first and the PDFs second.
We do not ship a preset Archibus file. Field names differ between Archibus versions and between sites that have promoted or added their own fields through Configure Fields, so the reliable method is to export your own header rows and map our columns onto them once.
What Archibus lease accounting asks for
Archibus offers an Extension for Lease Accounting under Real Property, Leases, Lease Portfolio. It calculates amortization schedules under FASB ASC 842 and IASB IFRS 16, classifies leases as finance or operating through a Lease Classification Wizard, and writes sub-ledger entries for export. The inputs it documents are stricter than what plain lease administration needs.
- FASB or IASB lease type. Land Only, Partial-Building, Building and Land, or Equipment.
- Full legacy start and end dates. For a transition lease, Archibus calculates both an ASC 840 schedule and an ASC 842 schedule, so the original term matters, not only the remaining one.
- Costs broken out by category. The help asks for taxes, maintenance and insurance as separate cost categories from base rent, assigned to the lease.
- Options. The program nets options into each fiscal period, and a re-evaluation after an extension changes the right-of-use asset.
- Initial direct costs and any residual value guarantee. Both flow into the right-of-use asset, and both tend to live in side letters.
Archibus also normalizes costs to the first day of the fiscal period when it builds the schedule, while keeping the actual due dates on the cost records. So the abstract should carry the real payment dates, and the system handles the period logic. If your team is still working through the standard itself, the ASC 842 implementation guide sequences the population build that these inputs belong to.
What Archibus publishes about pricing
No price. Eptura labels Archibus "Sold exclusively by our Partners", and its plans page covers Eptura Asset, Engage, Visitor, Workplace and Serraview without listing Archibus and without a dollar figure for any of them. The quote comes from a partner and depends on modules, user counts and whether you take Archibus SaaS, self-host, or need the FedRAMP Authorized government edition.
Directory sites do print Archibus prices, and they contradict each other: one says pricing starts at $2,000 a month, another says $50 per user per month. Neither cites Eptura, so we do not treat them as facts. We set out what is and is not published, next to the one IWMS vendor that does print a starting figure, in Archibus pricing vs TRIRIGA lease management pricing.
Whatever the partner quotes, reading the back catalog is a separate line. It is internal hours, an outsourced project, or software at a published rate: $49 a month for 15 leases, $149 for 75, $399 for 250 or $800 for 500. The wider market is in our lease abstraction software pricing roundup.
Where Archibus lease data goes wrong
- Gross costs keyed as one rent line. Lease accounting in Archibus wants taxes, maintenance and insurance split from base rent. A single blended number has to be unpicked later, lease by lease.
- Options loaded without notice dates. Alerts fire on option due dates. An option with no date is a record that never warns anyone.
- The amendment tab left empty. If the current terms are typed over the original, nobody can see what changed or when. Our note on lease amendment vs addendum covers which documents actually change the record.
- Suite areas copied from the floor plan instead of the lease. Archibus can compare measured suite area with leased area. That only works if the leased figure came from the document.
- Clauses summarized as "standard". The clause tab is how people find out who pays for a repair. A summary without the operative language sends them back to the PDF.
How LeaseAbstracts fits an Archibus workflow
Upload the executed lease and every amendment, rider and side letter. The AI reads the full set and returns a structured abstract with each field tied to its page and clause. A reviewer checks the flagged fields, approves, and exports Excel or CSV. Your Archibus administrator or Eptura partner maps those columns to the header rows of your Data Transfer files and runs the comparison report before transferring in.
Because the abstract does not depend on the target system, the reading can run while the partner is still scoping the Archibus work. If the platform decision itself is still open, our best lease abstraction and administration software comparison and the plans on our pricing page are the next two stops.

FAQ
Common questions
Does Archibus do lease abstraction?
Archibus stores and uses lease abstracts, but its documentation does not describe reading a lease PDF into fields. Lease data is entered through a wizard, forms or templates, or imported. The Archibus help says new users migrating from other systems might want to import lease abstracts to get started, so the abstract is produced before Archibus.
How do I import leases into Archibus?
Use the DATA button in the Lease Portfolio Console, which opens Archibus Data Transfer. It reads CSV or Excel XML files, one table per file, with the first two rows naming the table and its schema fields. Generate a comparison report to check differences and errors, then transfer the file in.
What is Archibus lease management?
Archibus lease management is the Leases application in Archibus by Eptura. It keeps lease details, suites, contacts, documents, base rents and other recurring costs, options, clauses and amendments in one place, raises alerts for lease and option due dates, and reports costs by month, year or location for tenants and landlords.
Does Archibus support ASC 842?
Yes. The Archibus Extension for Lease Accounting calculates amortization schedules under FASB ASC 842 and IASB IFRS 16, classifies leases as finance or operating, and writes sub-ledger entries. For transition leases it calculates both an ASC 840 and an ASC 842 schedule to support transition accounting.
How much does Archibus cost?
Eptura does not publish a price for Archibus. It is sold exclusively through partners on a scoped quote. Prices printed on directory sites conflict with each other and do not cite Eptura. Budget the abstraction of your existing leases separately, because the platform quote does not include reading them.
Who owns Archibus?
Archibus is sold as Archibus by Eptura. Eptura markets it as its facility and real estate management platform, next to products such as Eptura Asset, Eptura Engage, Eptura Workplace and Serraview, and offers a FedRAMP Authorized edition called Archibus for Government.
Can I bulk upload lease documents to Archibus?
Yes, with one condition. Archibus help states that to bulk import lease contracts through Data Transfer, the lease records must already exist in the Leases table. Import the abstracted lease data first, then attach the executed PDFs to those records.
How long does it take to abstract leases for an Archibus rollout?
By hand, a skilled analyst needs two to four hours for a commercial lease with amendments, so 200 leases is 400 to 800 hours before any import. AI abstraction returns the fields in minutes and leaves about ten minutes of review per lease, and it can start before the Archibus configuration is finished.
