LeaseAbstracts

Workday lease accounting data for every lease-type supplier contract

Workday lease accounting builds the initial recognition journal, the expense recognition schedule and the supplier invoice installments from a lease-type supplier contract. It does not read the lease to fill that contract in. LeaseAbstracts does. Upload each executed lease with its amendments and get the dates, every payment step, free rent, initial direct costs, lessor incentives, prepaid rent, options and residual value terms as fields linked to the clause they came from, ready to key or load into Workday Financial Management.

THE PROBLEM

Built for controllers, lease accountants and Workday Financials leads setting up lease-type supplier contracts, or moving a lease portfolio off spreadsheets or a retired lease tool into Workday Financial Management

Workday documents lease accounting as configuration first: tenant setup, contract types, account posting rules, asset books for finance leases, open future periods. Then the real work starts, one supplier contract per lease. Payment amounts and dates, initial direct costs, lessor incentives, prepaid lease payments, and for IFRS 16 the residual value. Every one of those answers lives in a signed PDF, often restated by an amendment filed somewhere else, and an analyst needs two to four hours a lease to find them. Two hundred leases is 400 to 800 hours before the first schedule is trusted.

Abstract to the inputs a lease contract asks for

The AI reads the commencement and end dates, each rent step with its frequency, abatement months, tenant improvement allowance and other lessor incentives, rent paid before commencement, renewal, termination and purchase options and residual value guarantees. That is the input list Workday documents for a lease-type supplier contract, read from the document instead of typed from memory.

One row per lease, mapped once

Every lease comes back with the same columns, so your Workday team maps the export to its load template one time instead of cleaning each lease by hand. Consistent rows also make the contract type decision (operating, financial, short-term) reviewable across the whole portfolio.

Every value carries its page and clause

A reviewer confirms an abstract in minutes because each date or dollar figure links to the sentence that produced it. When the auditor tests the opening lease liability, the source for every input is already attached.

Start before the Workday configuration is finished

Tenant setup, posting rules and asset books run on their own timeline. Reading the leases does not need to wait. Abstract the first lease today at a published price and arrive at contract creation with reviewed data.

Does Workday do lease abstraction?

No. Workday lease accounting is a calculation and posting capability inside Workday Financial Management, and Workday describes it as able to run the full lifecycle of a lease without other applications. It recognizes the right-of-use asset and lease liability, generates the initial recognition journal, straight-lines expense, and turns contract installments into supplier invoices.

All of that starts from a lease-type supplier contract that a person creates and fills in. Workday does not open the lease PDF, decide which amendment controls the rent table, or find the free rent buried in a rider. That reading is a separate job, done by your team, an outsourced service or abstraction software your team reviews. This page is about doing it in minutes per lease instead of hours.

What a Workday lease-type supplier contract needs from the lease

Workday course material lists the lease inputs on the supplier contract. The middle column is where the answer actually lives.

Contract inputWhere it comes from in the leaseWatch for
Lease payment amount and payment datesBase rent schedule, rent commencement, every amendment that restated rentA later amendment replacing the original rent table
Initial direct costsBroker commission agreements, legal invoices tied to signingCosts that would have been paid even without the lease are excluded

Prepaid lease paymentRent paid at signing or before commencementFirst month rent collected with the deposit

Workday lease accounting module setup, and where the lease data fits

  1. Tenant setup. Lease accounting is switched on in Edit Tenant Setup - Financials, under Procurement Options.
  2. Asset books. Finance leases and IFRS 16 operating leases need Business Assets with multi-book accounting configured.
  3. Contract types. Operating Leases, Short-Term Operating Lease and Financial Lease flags, plus Variable Payment and receiving settings.
  4. Posting rules. Default accounts for lease asset, lease asset contra, lease expense and lease liability.
  5. One supplier contract per lease. This is the step that consumes the abstract. Every input in the table above is entered here.
  6. Migration control. For existing leases Workday provides a mass update of lease contract installments to Available or Accounted status, so periods already booked are not posted twice.

Steps one to four are configuration your Workday team or partner owns. Step five is where projects stall, and it is the only one that depends on reading documents.

Which Workday accounting method applies to your operating leases

Workday offers three methods for operating lease-type contracts, and the right one depends on the standard you report under.

MethodUsed forWhat it changes
ROU Asset Operating ExpenseUS GAAP, ASC 842Single straight-line lease cost
ROU Asset Depreciation ExpenseIFRS 16 or GASB 87Lease tracked as a business asset and depreciated
Straight Line ExpenseRetrospective reporting under the former standardNo initial recognition journal

Alternate contracts let you run two methods side by side for comparative periods. The abstract does not change with the method. The same dates, payments and incentives feed every one of them, which is why getting them right once matters more than any configuration choice.

Amendments after go-live are limited, so review first

Workday supports three amendment types on financial and operating lease contracts: Lease Extension, Non-CPI Payment Change and Worktag Change. Short-term leases cannot be amended at all, and alternate contracts cannot be amended directly. Before any amendment the original contract must be approved and its initial recognition journal posted.

The practical consequence is simple. A wrong commencement date or a missed abatement month loaded at go-live is fixed through an amendment trail, not a quick edit. Abstracts with every field linked to its clause get reviewed before the contract is created, which is the cheapest moment to catch the error. The ASC 842 side of a modification is covered on our ASC 842 journal entries page.

Where Workday lease data goes wrong

  • Free rent folded into the first payment. Abated months need to appear as their own zero or reduced installments, or straight-line expense is wrong from month one. Our rent abatement extraction page shows the effect on a worked example.
  • The tenant improvement allowance missed or doubled. Workday amortizes it as part of the monthly entries, so it has to be entered once, as a lessor incentive.
  • Gross rent keyed as the lease payment. Operating expense pass-throughs are variable, not fixed lease payments, unless you elected otherwise.
  • A superseded term. The original lease ends in 2029, the second amendment moved it to 2032, and the contract keeps whichever date was read last.
  • Short-term flagged on a lease with a renewal you expect to exercise. The term includes reasonably certain options, which can push it past one year.

How LeaseAbstracts fits a Workday lease project

Upload the executed lease and every amendment, rider and side letter. The AI reads the set and returns a structured abstract with each field tied to its page and clause. A reviewer checks the flagged fields, approves, and exports Excel or CSV. Your Workday team maps those columns to the supplier contract load, adds the discount rate from your borrowing rate policy, and creates the contracts.

Pricing is published: $49 a month for 15 leases, $149 for 75, $399 for 250 and $800 for 500, and the plans are on the pricing page. The same workstream applies on other ERPs; we cover Oracle Lease Accounting FBDI data, Dynamics 365 Asset leasing data migration, NetSuite lease accounting and SAP RE-FX lease abstraction. If you are still choosing a dedicated lease system to run next to Workday, the best lease abstraction software comparison sorts the market by job.

FAQ

Common questions

Does Workday have lease accounting?

Yes. Workday Financial Management includes lease accounting that recognizes right-of-use assets and lease liabilities for US GAAP, IFRS and GASB reporting. It works through lease-type supplier contracts and produces the initial recognition journal, the expense recognition schedule and supplier invoice installments.

Does Workday do lease abstraction?

No. Workday calculates and posts from lease data a person enters on a supplier contract. It does not read lease documents. The lease has to be abstracted first, by your team, an outsourced service, or abstraction software whose output your team reviews before the contract is created.

What lease types does Workday support?

Workday lease-type supplier contracts cover financial leases, operating leases and short-term operating leases. Short-term applies only to contracts with a term of one year or less, and those contracts cannot have an alternate contract, an initial recognition journal or an amendment.

What information does Workday need for each lease?

Per lease: the payment amounts and payment dates, initial direct costs, lessor incentives, any prepaid lease payment, the right-of-use asset and lease liability, and the lease type. IFRS 16 contracts also take a residual value. All of it traces back to the signed lease and its amendments.

How do I migrate existing leases into Workday?

Configure lease accounting first, then create a lease-type supplier contract for each lease with its inputs. For periods already booked in the old system, Workday provides a mass update that sets lease installments to Available or Accounted status so they are not posted again.

Can I change a Workday lease contract after it is created?

Through amendments. Workday supports Lease Extension, Non-CPI Payment Change and Worktag Change amendments on financial and operating leases, after the contract is approved and its initial recognition journal is posted. Short-term leases cannot be amended, so review the abstract before the contract is created.

Do I need separate lease software if I use Workday?

For the accounting, often not, since Workday includes it. For the reading, yes in practice, because Workday does not extract terms from lease documents. Large or amendment-heavy portfolios also add a lease administration tool for critical dates and notices.

How long does it take to abstract leases for a Workday rollout?

By hand, a skilled analyst needs two to four hours for a commercial lease with amendments, so 200 leases is 400 to 800 hours before contracts can be created. AI abstraction with human review cuts that to minutes per lease plus review time, and it can start before configuration is finished.
